02/services / automation-workflows

Your tools should be
handing off to each other.
Not to you.

Custom automation workflows that connect your CRM, email, calendar, and everything else — so leads don't slip, invoices don't sit, and your Friday afternoons stop disappearing to admin.

/the problem

If you're the integration between your tools, this is for you.

EXTERNAL

Your tools don't talk.

Leads from Facebook go into one place, leads from your website another. Your team copies and pastes.

INTERNAL

You're tired of the catch-up game.

Every Monday starts with figuring out what slipped through the cracks last week.

PHILOSOPHICAL

Your business should run without you watching it.

If you can't take a Friday off without things stalling, that's a system problem, not a hustle problem.

/the guide

We build workflows for small businesses, not enterprises.

Pebble Media is an Idaho Falls–based automation studio. We've built workflows for service businesses, contractors, real estate teams, ecommerce shops, and accounting firms — using Make, Zapier, n8n, and custom code. We pick the right tool for your business, not the one we get paid to recommend.

/the plan

Three steps from
chaos to system.

  1. 01

    Book the audit.

30 minutes, no pitch. We learn how your business actually works.

  2. 02

    Get your report.

Three highest-impact workflows to automate, prioritized. Yours to keep.

  3. 03

    We build it.

Documented workflows your team can actually run. You own everything.

/anatomy of a workflow

Here's what a real
workflow looks like.

  1. STEP 01

    New Lead Comes In

Form submission, Facebook ad, or inbound call captured automatically.

  2. STEP 02

    Lead Enriched & Tagged

Company data appended, source tagged, hot-lead flagged in your CRM.

  3. STEP 03

    Instant Personalized Reply

AI-drafted email sent within 60 seconds. Text follows if no open.

  4. STEP 04

    Sales Rep Notified

Slack ping with full lead context — no logging in to find the file.

  5. STEP 05

    Calendar Link Sent

If lead engages, booking link drops in automatically with reminders.

  6. STEP 06

    Booked Meeting

CRM updated, prep doc generated, rep gets briefing 1 hour prior.

This single workflow saves a typical client 8–12 hours a month.

/questions

Questions, before
we get to work.

The ones we hear from owners weighing whether automation is worth it. Don't see yours? Ask on the audit call.

  • How long does a workflow take to build?

Most single workflows are scoped, built, tested, and handed off inside 1–2 weeks. Larger sprints (3–5 connected workflows) run 4–6 weeks. Timelines are confirmed after the free audit.

  • What if we don't know what to automate?

That's the entire point of the free audit. We map your week, look for repeated handoffs and copy-paste work, and leave you with a prioritized list of the highest-impact workflows — yours to keep whether we build them or not.

  • Do we own the workflows you build?

Yes. Everything is built in your accounts, on your tools. We hand over source files, credentials, Loom walkthroughs, and documentation. If you ever stop working with us, nothing breaks.

  • What's the difference between Zapier, Make, and n8n?

Zapier is the easiest, most expensive at scale, and best for simple linear flows. Make is more flexible and visual — great for branching logic and data transformation. n8n is open-source, self-hostable, and the best fit when you need full control or want to keep ongoing costs low. We pick the right one for your situation, not a default.

  • Can you work with our existing CRM?

Almost certainly yes. We regularly work with GHL, HubSpot, Pipedrive, Salesforce, Zoho, Close, Airtable-as-CRM, and custom setups. If it has an API or webhook, we can wire it in.

  • Do you offer ongoing support after the build?

Yes — through the Pebble Growth Retainer. Ongoing tuning, monitoring, fixes, and net-new automation as your business evolves. Most clients move to the retainer after their first sprint.

Let's find the three workflows
that would save you the most time.

The audit is free. The report is yours to keep. No pitch.
